Transfer Credit from Study Abroad
Student Responsibilities
Students are responsible for the completion of courses taken abroad, having their official study abroad transcript sent to the Office of Study Abroad, and providing signed URTC forms for any courses fulfilling major/degree requirements (plus any other documentation needed for the proper evaluation of credits earned abroad).
Students should be aware of and carefully review Rice graduation requirements, directing any questions regarding Degree Works to the Office of the Registrar.
Study Abroad Credit Transferability at a Glance

Grades

Students must receive a C- or higher for courses taken abroad. Only courses that have received a passing grade according to the host institution's grading policy (numbers, letter grades) will be considered for transferability. Pass/fail grades will NOT be accepted.
Some departments (e.g. ECON) require a minimum grade of B-, so make sure to check for department-specific requirements.

GPA

Study abroad course grades do not appear on your Rice transcript and have no effect on your grade point average. However, grades will be displayed on the official transcript received from your study abroad program.
Graduate/professional schools and some employers will likely request submission of all official transcripts; this will include grades earned in your study abroad courses to calculate your overall GPA when your application is reviewed.

Number of Credits

The total number of credits awarded will generally not exceed that which would normally be taken while at Rice during that time period.
Students must be enrolled in and receive credit for at least 12 credit hours per semester abroad, since students must remain within active full-time student status. For the summer term, we strongly recommend enrolling in / earning at least 6 credit hours.
- Keeping Records

While abroad, students should preserve copies of course descriptions, syllabi, and any other course documentation (including completed assignments/exams/etc.) in case they are requested by a transfer credit advisor. This documentation could be used to validate a request for transfer credit approval.

Courses must be completed on a Rice-approved study abroad program. All of the information on this webpage only applies to programs our office has approved.
Students may choose to study abroad independently, but this runs a high risk of the Registrar rejecting credit from any courses that are taken.
Transfer Credit Notation & Types
- Away/Exchange Placeholders

Rice enrollment while studying abroad is indicated by the AWAY 100 or XCHG 100 designator on your transcript (students on exchange programs have the XCHG notation instead of AWAY). These serve as placeholders for the credits to be earned while abroad.
AWAY/XCHG 100 registration also indicates your active status as a full-time Rice student while abroad, allowing for transportability of financial aid (excluding summer). These placeholders will show the minimum full-time enrollment requirements of 6 credits in the summer and 12 during each semester, regardless of the number of credit hours you are enrolled in while abroad.
Note: Students who have been approved by the Office of Study Abroad but have not yet received official acceptance into their study abroad program by the beginning of the regular Rice course registration period for the upcoming term will still be registered for AWAY/XCHG 100. If you do not receive acceptance from your program abroad, you should notify your study abroad advisor immediately.
These notations do not affect credit hours or grades on your record, nor do they indicate actual transfer credit during the term abroad. Courses and approved transfer credit will only be posted after receipt of an official study abroad transcript from the institution/program abroad.
AWAY/XCHG 100 designators remain even after you have returned and successfully transferred credit to Rice. All study abroad transfer credit will be posted at the TOP of the Rice transcript (not in chronological order). - General Transfer (TRAN) Credit

TRAN credit towards general elective hours required for graduation and upper-level requirements. Students do not need transfer credit advisor approval for TRAN credit (do not need a signed URTC form), but must meet the requirements set by the Office of the Registrar in order for credit to transfer as TRAN. TRAN credit can be awarded as lower-level (TRAN 100) or upper-level (TRAN 300), as determined by the Office of the Registrar.
- Rice Equivalent/Elective Credit

Rice (course) Equivalent and (departmental) Elective credit satisfies the same university, major, and/or distribution requirements as Rice enrollment.
If no direct equivalent Rice course exists, the transfer credit advisor from the department may choose to award Rice elective credit (DEPT XXX) signifying that the coursework was appropriate for the Rice curriculum. Depending on departmental policies, these elective credits may be used for major or minor requirements.
Equivalent/Elective credit requires departmental approval from a transfer credit advisor, indicated by a signed Undergraduate Request for Transfer Credit (URTC) form.
Transfer Credit Pre-Approval Process
As part of the study abroad application process, students are strongly encouraged to obtain pre-approval from their transfer credit advisors for coursework completed abroad for which the student wishes to obtain Rice-equivalent or elective credit. This advising is a critical part of allowing a Rice student to maximize his/her study abroad experience, as it ensures not only that credit will be properly evaluated, but that the study abroad complements each individual student’s course of study at Rice.
The pre-approval process requires students to identify courses abroad relevant to their major or minor programs, or able to fulfill distribution requirements. Students will meet with the appropriate transfer credit advisor to review planned courses and complete the Undergraduate Request for Transfer Credit form. Each department has the authority to pre-approve courses that may earn credit for either core requirements or electives.
The course pre-approval process is dependent upon the transfer credit advisor in each major. Transcripts from the institution abroad are then evaluated by the registrar upon return to Rice to determine final credit awarded.
Individual departments make the final decision as to whether courses are appropriate for transfer to Rice, as determined by departmental transfer credit advisors. Students who wish to use courses to satisfy requirements in their major will need to meet with these advisors to evaluate potential transfer credit for each course taken abroad and transferred back as credit into their major.
The course evaluation and pre-approval process is as follows:
- Step 1: Research Course Offerings

When selecting a program, make sure you know what courses are being offered during the term you are looking to go abroad. Collect all available course syllabi and course descriptions.
- Step 2: Look at the Rice Course Catalog

It is important to determine what courses will keep you on track for graduation. If the course offerings meet major/minor requirements, you will need to get a signed URTC form from a transfer credit advisor (the credit will transfer as either for Rice-equivalent or elective credit).
- Step 3: Complete the URTC Form

Prior to meeting with a transfer credit advisor, you must fill out a URTC form for any courses you are interested in taking abroad. The transfer credit advisor may or may not sign off on the form during your meeting, but you should come prepared.
- Step 4: Schedule an Appointment with the Appropriate Transfer Credit Advisor

Schedule an appointment to meet with the appropriate departmental transfer credit advisor for each course. Bring all course information at your disposal (syllabi, descriptions, sample assignments & exams, instructor contact information, etc.) along with the URTC form to your appointment(s). Discuss the classes you are interested in taking with the transfer credit advisor and identify which requirements they may fulfill.
Transfer credit advisors may or may not pre-approve courses for transfer credit on the URTC form at the initial meeting. Official approval is typically awarded only after a review of all available course materials upon the student's return to Rice. However, transfer credit advisors offer valuable guidance with regards to the likelihood of a student's proposed courses receiving approval. The outcome of conversation(s) with the transfer credit advisor(s) are documented in the study abroad portal during the application process.
- Step 5: Submit Pre-Approval Documentation to the Study Abroad Application Portal

As part of your Rice Study Abroad application, you are required to upload documentation of the transfer credit pre-approval process. If you obtained any signed URTC forms, please upload those. If not, you must provide at least an email thread with the transfer credit advisor(s) detailing the outcome of the discussion.
Any URTC forms or supporting documentation you submit are kept on file through your return to Rice.
Preparing Your Return to Rice
For courses that were not pre-approved, students should keep copies of exams, syllabi, papers, and other assignments for review by a transfer credit advisor upon return to Rice.
If you end up enrolling in different courses than those reported on your URTC form(s), you should consult with your transfer credit advisor(s) while abroad to ensure that major/minor credit can be awarded. You will need signed URTC forms for each newly approved course; the Office of Study Abroad will need a copy of these upon your return.
Where to Locate Study Abroad Transfer Credit on a Rice Transcript
All transfer credit is posted at the top of the Rice transcript, whether it be from high school, another college, or study abroad. Transfer credit is not posted in chronological order among Rice coursework. Therefore, when locating your study abroad transfer credit, do not scroll down to the term for which you were abroad—it will always display the AWAY 100 or XCHG 100 indicator.
